We implemented a Jira workflow for Hapag-Lloyd AG for requesting and reviewing cloud services and set up the associated Confluence knowledge base.

At Hapag-Lloyd, cloud-based products are in demand from various departments. To ensure compliance with legal requirements, internal guidelines, data protection policies, etc., a number of internal stakeholders are involved in the cloud governance process. To simplify the implementation and reporting process, a regulated Jira process with a suitable knowledge base provided a solution. After the successful implementation, we continued to support the process and expanded it with new functions and process steps.

From process definition to successful implementation

Process coordination activities include defining use cases and processes, formulating implementation requirements, and subsequently testing functions. We set up and automated a Jira workflow for requesting cloud services and the associated approval flows.

At the same time, we built a Confluence knowledge base where we documented all content, instructions, and checklists. We also mapped the Jira processes and tickets to Confluence.
To increase user acceptance of the system, we held regular coordination meetings with stakeholders and gathered feedback. Finally, we familiarized users with the system through workshops.
