The digital tool makes it easier to advise prospective emigrants and creates time for individual, complex consultations.

The Raphaelswerk is a non-profit organization that belongs to the German Caritas Association. Its task is to advise people who want to emigrate from Germany or who want to return to Germany. The main problem is that, as a non-profit organization, Raphaelswerk can only finance a limited number of employees. At the same time, however, there was a high demand for advisory services. Many inquiries could be answered with standard answers. For this reason, the desire arose to optimize the inquiry and advice process. Together with the Raphaelswerk, we therefore developed the “Emigration Guide” digital tool to make the work of those seeking advice and those dealing with it easier. The online form collects important information from prospective emigrants in advance, which enables more efficient and targeted individual advice.

From workshop to tool

  • Workshop

    The requirements and needs of the target group and employees were jointly defined using personas.

  • Creation of questionnaire

    To begin with, the questionnaire had to be created and structured in such a way that it could be mapped digitally.

  • Agile implementation

    The project was implemented in agile sprints according to Scrum. Architecturally and technically, the tool was set up in such a way that it is cost-effective in the long term. Among other things, Renovate is used for maintenance - a tool that can update the dependencies of certain codes (e.g. frameworks, libraries).

Efficient advice for emigrants

The emigration guide asks for the most important information from those seeking advice before providing individual advice. This includes basic information such as: Country of destination, age, whether the partner and children are traveling with them and whether information on the school system or kindergarten is required. The motivation for emigration is also requested. Once sent, the inquiries are entered into a portal. The incoming requests can be accessed by Raphaelswerk advisors and advisors from their network. They can enter the relevant information on specific topics directly into an answer field. Those seeking advice also receive a cover letter and an offer to contact them directly. Communication initially takes place exclusively via the portal, as no communication data such as email addresses are collected for data protection reasons.
