Shortcuts to the project
Raphaelswerk is a non-profit association that belongs to the German Caritas Association. Its mission is to advise people who want to emigrate from Germany or return to Germany. The core problem is that, as a non-profit association, Raphaelswerk can only finance a limited number of employees. At the same time, however, there was a high demand for counseling services. Many inquiries could be answered with standard responses. For this reason, there was a desire to optimize the inquiry and counseling process. Together with Raphaelswerk, we therefore developed the digital tool “Auswanderungslotse” (Emigration Guide) to make the work easier for those seeking advice and those processing the inquiries. The online form collects important information from prospective emigrants in advance, enabling more efficient and targeted individual counseling.
Our project approach
Workshop
The requirements and needs of the target group and employees were jointly defined using personas.
Questionnaire creation
The first step was to create and structure the questionnaire in such a way that it could be digitally reproduced.
Agile implementation
The project was implemented in agile sprints according to Scrum. Architecturally and technically, the tool was set up to be cost-effective in the long term. Among other things, Renovate is used for maintenance—a tool that can update dependencies of certain codes (e.g., frameworks, libraries).
Efficient advice for those wishing to emigrate
Before providing individual advice, the emigration advisor asks those seeking advice for the most important information. This includes basic information such as: destination country, age, whether the partner and children are traveling with them, and whether information about the school system or kindergarten is desired. The motivation for emigrating is also asked. Once submitted, the inquiries are sent to a portal. The consultants at Raphaelswerk and consultants from their network can access the incoming inquiries. They can enter the relevant information on specific topics directly into a response field. In addition, those seeking advice receive a cover letter and an offer to contact them directly. Communication initially takes place exclusively via the portal, as no communication data such as email addresses are recorded for data protection reasons.
