Booking Platform for the Hospitality and Leisure Industries: Efficiently Managing Processes

We designed and implemented a central platform for a leisure and tourism company that integrates hotel operations, activities, and resource management. From analysis and software selection to integration with SAP, we created a unified database that links reservations, resource management, and billing.

The client is a leisure and tourism company offering a diverse range of services, including an amusement park, camping, hotels, and sports and recreational activities. This diversity places special demands on booking, billing, and resource management: rooms, campsites, activities, and other resources must be managed reliably, and different processes must be integrated.
Until now, the various offerings were managed through separate systems. The goal was therefore to implement a centralized software solution that would bring together as many business areas as possible while simultaneously creating a shared database.
In addition to delivering a modern guest experience, the focus was on more efficient resource management, automated processes, and the transition to a cloud-based operation.

How We Found the Right Platform for Complex Requirements

The challenge was not merely implementing new software. First, we had to identify the platform that best suited the client’s specific requirements from a wide range of hotel, booking, and resource management solutions.
This is because traditional property management systems often focus on the hotel industry. The client, however, needed a solution that could also accommodate camping, activities, and publicly bookable resources.
As an independent consulting partner, we therefore first analyzed the existing IT landscape and used it to develop a target architecture. We then conducted a structured comparison of suitable providers and supported the client in the selection process and contract drafting.
PMS (Property Management system) was ultimately selected as the central platform, and we worked together to prepare for its integration with the existing systems into the future architecture.

The result: intelligently integrated booking, resources, and billing

With the new platform, the client has a centralized technological foundation for managing its various tourism offerings.
A key component is the interface we developed between PMS and SAP ECC. Invoice data is securely transferred from the property management system to SAP, where it can be processed for further invoicing. Adyen, a payment service provider, is also integrated to ensure end-to-end transaction processing.
At the same time, the platform creates new opportunities for day-to-day operations. Dynamic pricing can be based on demand and occupancy rates. Available resources can be specifically made available for public booking, thereby attracting additional guest groups.
Thus, a heterogeneous system landscape has been transformed into an integrated platform that not only digitizes existing processes but also lays the foundation for new offerings and more efficient operational management.

Companies with complex business models, in particular, face a crucial question when modernizing their system landscape: Which software actually fits our processes and can be meaningfully integrated into our existing IT infrastructure?
We support companies not only with the technical implementation but also from the very beginning—during system analysis, target architecture design, and software selection. In doing so, we work together to assess existing processes, interfaces, and future requirements: in a vendor-neutral manner and with an eye toward a long-term, sustainable architecture.
